How to Block Personal Time on a Google Workspace Calendar

To block personal time on your Google Workspace calendar, create a busy event on the work calendar that coworkers or your booking page actually check. Use a neutral title and leave out personal details. If the appointment already lives elsewhere, you can maintain that work block manually or use an approved sync service to update it automatically.

A simple native busy block

In Google Calendar in a computer browser, create an event for the appointment and select your main work calendar. Before saving:

  • Give it a general title such as “Busy.”
  • Check that availability is Busy rather than Free.
  • Set the event's visibility to Private where appropriate.
  • Leave descriptions, addresses, and guests out unless they are needed.

This is enough for a dentist appointment that rarely changes. Add travel time as part of the block if you cannot accept meetings immediately before or after it.

Visibility and availability are separate. A private event can still be marked free, and a busy event can contain more detail than you intended. Google explains event visibility.

Use Out of office when you need its behavior

Some Google Workspace accounts offer an Out of office event type, including meeting-decline options. This can suit leave or a longer absence. Availability depends on your account and organization, so check the options actually shown when creating the event.

For a brief personal appointment, a normal busy event is often enough. You do not need to send an absence announcement or invite your team just to reserve an hour.

Keep the wording general. “Unavailable” tells coworkers you cannot meet without explaining why in your employer's calendar.

Shared views and booking-page availability

You can share a Google calendar with another Google account using restricted permission levels. This can help you view your personal schedule while signed in at work. Your organization may limit sharing or external access.

However, a separate calendar visible in the sidebar is not the same as a busy event on the primary work calendar. Before relying on it, check the specific scheduling process: coworkers searching for a meeting time, an appointment schedule, or an external booking service.

Checking secondary calendars for conflicts in an appointment schedule requires an eligible Google Workspace or Google One plan. Select those calendars in the schedule's settings; displaying them beside work is not enough. See appointment schedules with multiple calendars for the supported choices and Google's current requirements.

If personal appointments change frequently

Manual work blocks create a second item to remember. For a recurring treatment, changing class timetable or busy family schedule, a sync tool or approved automation may reduce that maintenance.

Look for support for time changes, cancellations, and recurring exceptions. A workflow that only creates an event leaves an old block behind when the source moves.

Copy only events that should block work time. A birthday reminder marked free should not reserve a working day.

Using Avum for controlled work copies

In Avum, connect the source account and your Google Workspace account with your organization's permission. Create a Sync Rule from the personal calendar to the calendar used for work availability.

Choose a generic destination title, omit personal descriptions and locations, and set the copies to Busy. Apply filters to leave out personal entries that do not affect work. iCloud and compatible CalDAV sources are supported alongside Google, Microsoft, and read-only ICS links.

For example, a personal iCloud appointment called “Consultation” could produce a Google work event called “Busy,” with the same occupied time but none of the notes. The personal original remains where you manage it.

Review the fields in a busy-only copy before enabling the rule. If you already keep occasional work blocks updated reliably, you can continue doing that by hand.

Before leaving the setup

Create a test appointment and inspect the work copy. Ask a coworker who normally books meetings with you to check that time through their scheduling screen. Confirm both the occupied time and the absence of personal details.

Move the source event, confirm the change, and remove the test. If the hour remains bookable, check which calendar the scheduling system reads before adding more sources.

To stop, remove a manual block or disable the automatic rule and inspect remaining copies. Keep any source access available until you understand the service's cleanup behavior.
