Why Your Personal Calendar Is Visible but You Still Get Double-Booked
Your calendar app can show a personal appointment without marking you as busy in your work account. The usual reason is that you are looking at several calendars together, while coworkers or a booking page check only one of them.
Find the calendar that accepted the booking
Was the meeting arranged through Outlook's Scheduling Assistant, Google Calendar, or a booking page such as a Google Calendar appointment schedule? These may use different availability sources.
Outlook colleagues usually check your work mailbox's calendar, while a booking page may check a selected set. Your phone can display every account you added. Each system can be working exactly as configured while the booking page still misses your personal appointment.
Pick the conflicting hour and write down the personal event's source calendar and the booking's destination calendar. Include the account address as well as the calendar name. “Personal” under Google and “Personal” under iCloud are different sources.
Overlay or stored event?
Hide the personal calendar briefly in your app. If the appointment disappears while the work calendar stays empty, you may have been looking at a combined view rather than an event stored in your work calendar.
An overlay combines the display while leaving the accounts separate. Microsoft's multiple-calendar instructions show how to switch between overlaid and separate views.
For native ways to view everything, see all calendars in one place. For another system to respect the time, continue with the checks below.
The event's Busy or Free status
Open the appointment and check whether it is set to Busy or Free (in Outlook, the Show as setting). A reminder can be visible but deliberately marked free. All-day birthdays and informational entries are common examples.
If the appointment occupies your time, set it to Busy. Leave informational reminders free. Turning an entire holiday calendar into blocked working time would make you very difficult to book.
Also check whether a copied appointment retained the intended status. A title saying “Busy” does not itself determine scheduling availability. Read calendar status choices for that distinction.
Secondary calendars and Outlook's connection limits
Outlook on the web can connect one personal Google or Outlook.com account and use availability from its primary calendar. A family subcalendar can appear without contributing its busy time. Microsoft documents the connection's scope.
If a secondary calendar holds the missing appointment, connecting the account is not enough. Check whether the scheduling feature can select that calendar or needs a busy copy in the main destination.
For booking pages, inspect their calendar-checking settings. Adding an account to your phone does not change the booking page. Google appointment schedules, for example, have their own calendar availability choices.
Choose the smallest useful fix
For a one-off appointment, create a generic busy block in the checked work calendar and keep it updated manually. If you use Outlook's personal-calendar connection, turn on the option to show personal events as busy, and confirm the event is in your primary personal calendar.
For a booking page, select the additional calendars it is allowed to check. Some features require a particular subscription or permission. If a work policy prevents the connection, ask the administrator which method the organization allows.
A sync service or approved automation helps when appointments in another calendar change often and need ongoing busy copies in the calendar that gets checked.
Using Avum for the copying step
In Avum, select the calendar containing the missing appointment as the source of a Sync Rule. Send a generic busy copy to the calendar your work scheduling system checks, leaving out personal descriptions and locations.
Avum can copy from sources beyond one primary personal account, including iCloud, compatible CalDAV calendars, and read-only ICS feeds. Updates depend on the connected providers. The booking system must still be configured to check the destination.
Create a test event, then open the scheduling screen a colleague or booker would see. Move the source event, confirm that the busy time moves with it, and delete the test. If the destination has the busy block but the booking page still offers that hour, return to the booking page's calendar-selection settings.
