How to Balance a University Timetable, Part-Time Work, and Personal Plans

Your university timetable, work rota and personal calendar describe different parts of the same week. The difficulty comes when each changes somewhere else. A class moves rooms, a manager changes a shift, and the handwritten version you made on Sunday is already out of date.

Keep those sources separate, but bring them into a view you can check. Then add the commitments the official schedules leave out: travel, preparation and the time needed to recover between them.

Keep the university timetable authoritative

Look for the university's official calendar subscription or timetable export instructions. An updating calendar link is usually more useful for a changing timetable than importing a file once. An ICS file is a snapshot; subscribing to a URL gives your calendar a source it can refresh, although updates may be delayed.

Subscribe to your university timetable using its official instructions. For Neptun, use the instructions for your institution: menus and export permissions differ between installations.

Give the timetable a clear name and color. Check the official system for urgent room changes and exam information; a late update may not have reached the subscription yet.

Confirmed shifts and travel time

If your employer provides a rota feed, subscribe separately. If shifts arrive through a portal or message, add confirmed shifts to a dedicated work calendar and update them when the employer confirms a change. Avoid treating a request for a shift swap as a completed swap.

Record confirmed shift times and allow for travel. A lecture ending at 14:00 and a shift beginning at 14:00 still leave no time to get between them. Add a travel block to make that gap visible.

A shift-calendar subscription preserves the employer's published schedule. Editing a personal copy does not change the employer's assignment.

Add study time where you control it

Taught sessions are only part of the course workload. Add study blocks to your own editable calendar with a concrete task, such as “Prepare seminar notes.” Estimate how long it needs before filling the gaps in the week.

Plan one ordinary week including meals, travel, and room for work that takes longer than expected. When a laboratory session moves, review the study blocks around it; a timetable update will not replan them for you.

When creating a study event in Google Calendar, choose your own calendar in the event editor. A university feed can be visible alongside it without giving you permission to save study plans there.

Decide who needs to see your availability

You may only need a combined view for yourself. A native calendar app with several accounts can be enough, with no event copying at all. Viewing multiple calendars in one place compares that option with a separate overview.

If someone schedules you based on a work calendar, classes may also need to appear there as neutral busy time. For a fixed term, manual recurring blocks can work well. Do not expose course details, personal appointments or a whole timetable unless the destination genuinely needs them.

If your manager books meetings against your work calendar, an Avum Sync Rule can copy classes from the university feed as neutral busy blocks. An ICS timetable is read-only: report changes through the university, and let its updates reach the copies. For an iCloud or CalDAV source, connect the account that holds the events. Receiving CalDAV calendars need write access.

The next week of classes and shifts

Once a week, compare the official timetable, confirmed shifts and personal plans. Look for changed locations, early starts, travel gaps and deadlines that need preparation. Check the source when two versions disagree. Keep dates like exam changes visible until you have confirmed the correct version.
