How to Add a Shift Rota to Your Personal Calendar

Subscribe to your employer's shift calendar to keep it beside your personal appointments. The subscription follows published changes, while a downloaded ICS file only captures the shifts available at download time. Confirm the employer's supported export method and keep checking its official schedule for urgent swaps or acceptance requirements.

Find the personal schedule feed

In the scheduling app or website, look for Sync to calendar, Subscribe, Calendar link, or Export. Choose your personal schedule unless you are authorized to use the team's full schedule.

Deputy, for example, documents both a web calendar link and a downloadable ICS file, and says administrators can control calendar-sync availability. Its calendar connection guide explains those differences.

A calendar link is usually the option for ongoing changes. An attached ICS file in a shift email may only add that particular published version. If the interface is unclear, ask your manager or provider which method stays current.

Keep a personal schedule URL out of public chats. Some links provide shift details without requiring another sign-in.

Add it to the calendar you use

For Google Calendar on a computer, choose the plus button beside Other calendars, then From URL. Paste the supplied address and add it.

For Outlook on the web, choose Add calendar → Subscribe from web. For Apple Calendar on Mac, use File → New Calendar Subscription. On iPhone, open Calendar → Calendars → Add Calendar → Add Subscription Calendar, or use the scheduling app's own Add to calendar option.

Follow the subscription steps for Google Calendar or Outlook. Keep the shift schedule in its own calendar so you can identify its source.

If the provider only offers a downloadable file, import it into a distinct calendar and label it as a snapshot. Confirm whether the provider's Sync button creates a subscription or downloads a snapshot.

Overnight shifts and unpublished weeks

Compare one ordinary shift with the employer's schedule. Then inspect an overnight shift, if you work them. Check both dates, start and finish times, breaks, and location.

A shift starting at 10 PM and ending at 6 AM needs to span two dates. It should not turn into an all-day event or appear to finish before it starts.

Also check the schedule's future range. A working subscription may only contain shifts that have been published. Next month may be empty because the employer has not published those shifts.

Busy copies in another account

Seeing shifts on your phone may be enough for personal planning. If a separate work account or booking service also needs to know you are unavailable, check which calendars it uses to work out your availability.

For occasional shifts, manually create generic busy blocks. For ongoing changes, add the authorized employer feed as an ICS source in Avum and select the receiving calendar in a Sync Rule. Omit colleague names and operational notes from that destination. Accept swaps in the employer's system; editing a calendar copy does not change its read-only feed.

At the end of the arrangement, unsubscribe from the feed and review any copying workflow separately. Removing the feed does not remove busy blocks you created by hand; delete those separately.

Expect a delay after swaps

A subscription does not always update immediately. Deputy's guide describes refresh timing as dependent on the receiving calendar application. Outlook separately warns that feed updates can sometimes take more than 24 hours in its subscription documentation.

After a last-minute swap, check the employer's schedule. If the source is correct but your calendar is stale, investigate the subscription refresh.

Avoid adding a manual replacement shift without marking it clearly; when the feed catches up, you may see two appointments. If you add a temporary reminder, remove it once the official version arrives.
