How to Subscribe to an ICS Calendar in Outlook
In Outlook on the web, use Add calendar → Subscribe from web to follow an updating ICS calendar. Choose a subscription link from the publisher; Upload from file adds a one-time snapshot. A subscription follows later changes while leaving the publisher in control of the original schedule.
Find a genuine subscription link
Look on the source website for Subscribe, iCalendar, or ICS link. Copy the subscription address for an ongoing connection. A downloaded file contains the schedule as it was when downloaded.
Some sites offer several calendars. Check that you have selected the right class, team, location, or date range before copying. A school-wide calendar and one child's timetable may be very different feeds.
Some private calendar feed addresses contain a secret token that grants access without another sign-in. Keep these URLs out of public support posts.
Subscribe in Outlook on the web
Use Outlook.com for a personal Microsoft account, or Outlook on the web for a work or school account:
- Open Calendar and expand the left navigation if necessary.
- Select Add calendar.
- Choose Subscribe from web.
- Paste the calendar address.
- Give it a clear name and choose the available display options.
- Save or import the subscription as prompted.
Microsoft's official instructions distinguish the subscription from the upload flow. Use the instructions for your personal or work/school account, since labels can differ.
The result should appear as a separate calendar. Select it in the calendar list and find a recognizable source event. Check a future date and, where relevant, a recurring appointment.
Classic Outlook for Windows also offers internet-calendar options, with different menus from the browser. Setting up the subscription in the web account makes it easier to confirm where it is stored.
Know what happens when the schedule changes
Outlook periodically fetches the feed. Microsoft says changes can sometimes take more than 24 hours to appear. Reloading the browser does not force Outlook to fetch the publisher's feed.
For an urgent change, check the source timetable directly. If Outlook remains stale, troubleshoot the source and subscription refresh. Importing another file adds a snapshot without repairing the subscription.
Also check whether the original feed was replaced or your access expired. Some organizations issue a new link for each term or season. An old subscription can remain visible while its source stops receiving updates.
If you only have an ICS file
Choose Upload from file instead, browse to the file, and deliberately select the destination calendar. Consider creating a separate calendar first so the imported schedule is easier to identify and remove later.
That file will not keep updating when the source changes. Reimporting later versions can create confusing overlaps, so decide whether you want a lasting snapshot or a live subscription. Review how ICS subscriptions and imports differ before replacing one with the other.
Do not upload an entire personal calendar into a work account without reviewing its contents. The destination may have different sharing and retention policies.
When the schedule must block work availability
A separate subscribed calendar can help you plan, but your colleagues or booking service may check another calendar. Inspect the actual free/busy result before assuming the subscription protects the time.
For a few commitments, add manual busy blocks. For regular timetable changes, use the ICS feed as the source of an Avum Sync Rule and select the writable work calendar as destination. Copy the occupied time with a generic title, leaving private details out of the work account.
The feed cannot receive edits back, and no copying layer can show a source update before the publisher supplies it. Keep the original schedule available for urgent checks.
To stop following the feed, unsubscribe from that calendar instead of deleting individual publisher events. Review any independent copying rule separately.
