Apple Calendar vs iCloud Calendar: Why the Difference Matters

Apple Calendar is an app. iCloud Calendar is a service that stores calendars online. The app can show iCloud events, but it can also show events stored in Google, Microsoft Exchange, other calendar services, and sometimes locally on a Mac.

That difference explains a surprisingly common problem: an appointment is visible on an iPhone, yet it is missing from iCloud.com or a connected sync service. The event may be perfectly healthy, just stored in a different account.

Find where the event actually lives

Open the appointment in Apple Calendar and look at its Calendar field. Then open the calendar list and find the account heading containing that calendar.

“Personal” is only a name. You might have a Personal calendar in both Google and iCloud. Colors help you recognize them, but the account heading is the more reliable clue.

On iPhone, tap Calendars to see the available calendars. On Mac, show the calendar list if it is hidden. Apple explains how to display multiple calendars and move an event between them.

For example, a gym booking saved to a calendar under your Google account will usually belong to Google Calendar even though you entered it using Apple's app. Connecting only iCloud to another service will not give that service access to the Google event.

Adding an account vs. syncing accounts

Adding Google and Exchange to Apple Calendar creates one convenient view. It does not automatically copy Google's events into Exchange, or Exchange meetings into iCloud.

You can normally edit an event through the app if the underlying account and your permissions allow it. The change goes back to that event's own service. It does not become a new event in every account listed in the sidebar.

If seeing the full week is your goal, this native setup may be enough. See adding Google and Outlook to Apple Calendar for the practical setup choices.

If your goal is for coworkers to see you as unavailable, a combined personal screen is only part of the answer. Their scheduling system needs the relevant time too.

Choose the right default for new appointments

The default calendar determines where many new events are saved when you do not deliberately choose another calendar. It is easy to overlook this after adding a work account or replacing a phone.

On current iPhone versions, look in Settings, Apps, Calendar, then Default Calendar. On Mac, look in Calendar settings under General. Choose the calendar that should receive your usual appointments, and still check the Calendar field when creating anything important.

Changing the default leaves existing events where they are. If last month's appointments went into work, move those events to the correct calendar separately.

What “On My Mac” means

A calendar under On My Mac is stored locally rather than in an online account. It may be useful for a private local schedule, but it is not an iCloud calendar simply because it appears on an Apple computer.

If you want those events on other devices or in an online sync service, you need to move or import them into an appropriate cloud calendar. Keep a backup before a large move and check recurring appointments afterward. Apple documents calendar import and export on Mac.

Connect the correct account to Avum

Avum connects to the service storing your appointments: Google, Outlook/Microsoft 365, iCloud, or a supported CalDAV service. Events shown only in an unconnected account on your phone will not appear through another account's connection. ICS subscriptions can be connected as read-only sources.

If your appointments are already in iCloud, connect that account with an app-specific password. If they are in Google, connect Google instead. Leave the events in their existing service unless you also want to move them.

Avum Calendar can show connected schedules together. Its Sync Rules are the separate step for copying selected events or busy time to another calendar.

If a calendar is missing after connection, return to the event's Calendar field and compare the account name with the one you connected. Correcting the account selection can resolve the problem without moving events or reconnecting a healthy service.
