How to Manage Multiple Client Calendars as a Freelancer

When clients book you through different accounts, each calendar needs to show the time you have already promised elsewhere. A combined view helps you make your own decisions; busy blocks help the clients make theirs.

For a few fixed commitments, add neutral recurring blocks by hand. If meetings change frequently, use approved calendar synchronization to keep those blocks updated. In either case, keep each real meeting in the client account that received it.

Keep each client's calendar with the client

Continue accepting invitations and changing meetings in the account that received them. That preserves the correct organizer, guest list and ownership. Avoid moving every engagement into a personal “master” calendar: when a contract ends, you may lose access to the original invitation, while copies can remain elsewhere.

Write a short inventory for each account: provider, calendar name, who owns it, where invitations arrive, and whether another application may connect. Ask about copying availability outside the organization before setting up automation. Permission to attend a meeting is not automatically permission to reproduce its details.

If two clients already use the same provider, sharing may give you enough visibility. Google's calendar sharing controls let an owner choose access levels. Shared viewing still needs to be distinguished from a busy block on the account a client checks.

Choose a personal overview first

A multi-account calendar app can display several calendars together without moving events. This is often the simplest solution if you book all your own meetings and clients ask before sending invitations. Give each source a recognizable color and keep account names visible when creating events.

If you book every meeting yourself, seeing all your calendars together may cover your needs. If clients use Outlook's Scheduling Assistant or book directly into gaps, their booking view also needs to reflect your other commitments.

What each client should see

Most clients need occupied time, not a list of your other customers. For a small number of fixed engagements, create a manual “Unavailable” appointment in the other work calendar, mark it busy, and leave sensitive details out. A recurring weekly commitment is particularly easy to maintain this way.

For frequent changes, map the required directions on paper. Suppose Client A and Client B both need your availability, while a personal account is only your overview. You might need A-to-B and B-to-A busy copies, but no detailed client-to-personal copies at all. Fewer routes mean fewer places to inspect and fewer copies to remove later.

Review titles, descriptions, locations, and meeting links before copying anything. A neutral title does little if the description still names the client. Review the fields that can reveal another client's name as well as the event title.

Busy copies with Avum Sync Rules

In Avum, connect the approved client accounts and create a Sync Rule from Client A's calendar to Client B's. Set the copied title to “Unavailable” and remove descriptions, locations, and meeting links B does not need. Configure the reverse direction separately if A also needs to see B's busy time. For each direction, create a test appointment, move it, and cancel it; confirm the result in the destination's scheduling view.

Google, Outlook, iCloud, and CalDAV can be part of the arrangement; Avum needs permission and server support to write to a CalDAV calendar. An ICS link can supply events, but remains a read-only source. That matters when a client provides a feed rather than permission to edit its calendar.

Avum Calendar supplies an overview. It does not give you control over a client's calendar or grant permissions an organization has withheld. If policy prevents a connection, approved manual busy appointments may remain the right method.

When a contract ends

Before a client disables your account, stop the rules that copy its events, review the copies left in other accounts, and revoke access you no longer need. Keep a short list of which calendar sends busy time to which. That gives you specific connections to remove when the contract ends.
