How to Keep Client Names Out of Another Client's Calendar

Keep each client's meeting details in the calendar where they belong, and put only generic busy time into other clients' calendars. A neutral title is a start, but also check descriptions, locations, call links and other fields before copying anything.

Each client's account rules

Check the rules for every client account. Some organizations allow calendar availability copying; others restrict third-party connections or sending any work information outside their environment.

If a connection is not approved, use the client's permitted process, such as a manual generic block or agreed working hours.

Also think about whether the client needs a continuing calendar signal at all. A fixed weekly availability agreement may be simpler than connecting systems for a short engagement.

Inspect an ordinary meeting

Imagine a source event called “Northshore renewal discussion.” Replacing that with “Busy” removes one clear disclosure, but a description might still contain the client's name, contract notes and a video link.

Check every field that could travel. A destination viewer may open the event rather than only read its title on the weekly grid. Treat your own full-detail view as a checklist, then decide which parts another organization genuinely needs.

Private labels are helpful for some viewers but are not substitutes for removing unnecessary information. People with broader access may still see private event details. Google explains visibility and permission combinations.

Native and manual options

For occasional conflicts, create a busy appointment in the second client's calendar. Give it a general title, no client identity, no guests and no personal notes. Include the actual unavailable time, with travel if needed.

Update the block when plans change. This is a reasonable choice for a small workload and avoids granting another service access to client systems.

Native free/busy sharing can also be appropriate if one organization simply needs to view another authorized calendar. Check the actual audience and sharing policy. It is not the same as a busy event written into the calendar their scheduling system checks.

For appointment booking, a scheduler may be able to check several authorized calendars directly. That can protect booking availability without copying meeting details into each client's account. It does not necessarily change ordinary Outlook or Google meeting suggestions.

Automatic copies need different rules for different audiences

If manual blocks are too difficult to maintain, evaluate an approved sync service or automation. Look for field controls and support for updates and cancellations.

Avoid a single “copy everything everywhere” arrangement. A full-detail personal planning view and a client-facing busy calendar have different purposes. Decide separately what each destination receives.

Plan each direction of calendar copying separately. Often each client calendar only needs generic busy time from the others.

Using Avum to control what each destination sees

With the required approvals, connect the accounts in Avum and choose source and destination calendars in a Sync Rule. Replace destination titles with a neutral label, omit descriptions and locations, and review the other available fields.

Avoid prefixes that disclose the engagement, such as a company name, a project code, or even “Other client.” “Busy” tells the receiving client you cannot meet without describing your other work.

Use filters to avoid copying irrelevant free reminders or out-of-hours events. Plus and Premium include advanced conditional settings; many busy-only arrangements do not need them. Avum Calendar provides your own combined view without requiring identical detail in every destination.

Sample copies and end-of-engagement cleanup

Create a sample source event using invented client information, never a confidential meeting as the first test. Inspect the destination's title, description, and location, then ask a viewer with the client's usual calendar permissions to open it.

Move and cancel the sample at its source. Confirm that the destination follows before enabling a wider arrangement. For a detailed review checklist, use busy-only calendar sharing.

When an engagement ends, disable its connections and check for remaining copies while you still have appropriate access. Revoking access stops future use; it does not necessarily erase information already written into another organization's systems.
