How to Keep Calendars Aligned Across Two Microsoft 365 Organizations

To keep two Microsoft 365 work calendars aligned, first decide whether you need to view both schedules, let colleagues look up your other identity, or put busy time into both calendars. Those outcomes use different tools.

A combined Outlook view handles your own scheduling. An Exchange organization relationship lets people look up availability across organizations. Approved busy copies help when colleagues keep inviting just one of your two addresses.

Both organizations still control their own permissions. Access approved by one does not authorize copying data from the other.

One person, two work identities

Write the requirement as a concrete example: Organization A should see you as unavailable on Tuesday from 10:00 to 11:00 because of a commitment in Organization B. A usually needs only the occupied time. Add the reverse direction if colleagues in B also need to book around A's meetings.

Give that example to both IT teams. Ask which calendar-sharing and application connections are permitted. Signing in to both accounts in Outlook leaves them as two separate accounts with their own owners and policies.

This discussion is especially useful for a board role, a joint appointment or a consultancy arrangement. A narrow request for busy time is easier to assess than a request to share an entire calendar without limits.

Organization-level sharing in Exchange

Exchange Online offers organization relationships for cross-organization availability sharing. Administrators configure each side and choose how much information is visible. This can be a good fit when the organizations collaborate regularly and want a managed solution for many people. Microsoft's organization relationship documentation explains the model.

An organization relationship lets someone look up the external identity's availability. It does not fill both of your calendars with the same busy periods. Ask the administrators to demonstrate what a colleague sees when inviting the address they normally use.

Individual calendar sharing is another option where policy allows it. A colleague may be able to view the external calendar alongside yours. For an overview of those choices, see sharing an Outlook calendar outside your organization.

Use a combined view for your own scheduling

Adding both accounts to a supported calendar client can give you a combined view. This is helpful when you arrange meetings yourself and can inspect both schedules before accepting. Give each account its own color and check the sending account before creating an invitation.

The limitation is what others see. Your colleague's Scheduling Assistant may still consult only the address they invited. A calendar displayed beside yours on your screen is not evidence that your primary calendar has been blocked.

If only a few fixed periods overlap, create neutral busy appointments manually. Record which account contains the real meeting so future changes happen there. This avoids unnecessary automation for a stable arrangement.

Use copies when both identities need busy time

When approved, an ongoing copy rule can place occupied time on the calendar people actually check. Avum's Sync Rules provide this kind of selected source-to-destination copying. Connect both authorized Microsoft accounts and begin with one direction; remove titles, locations and descriptions the destination does not need.

Follow the two-Outlook-account setup for the connection steps. Add the reverse direction only if people in the other organization also book against that account. Continue changing each real meeting in the account that owns it; copying in both directions does not make a copy its original.

You can also display a personal calendar in Avum Calendar. Choose separately whether personal appointments should create busy blocks in either work account and which details each organization may receive.

Changing roles or ending access

Before expanding the setup, test a short appointment, a moved meeting, and a cancellation in each direction. Ask an authorized viewer in each organization to check your availability. Confirm that they see only the agreed details and that the original meeting's attendees are unchanged.

When a role changes, stop copying that is no longer approved. Identify the generated copies before removing them, and disconnect the account when access should end.
