How to Sync Two Outlook Calendars Across Separate Accounts
To use two Outlook calendars together, first decide whether you need a combined view, access to one shared calendar, or updating copies in both accounts. Adding both accounts to Outlook solves the viewing task; it does not automatically make one account's events part of the other's availability.
This applies whether the accounts are personal Outlook.com accounts, Microsoft 365 work accounts, or one of each. Organization policies can add further limits.
Identify the accounts and calendars
Outlook is an app as well as a name used for Microsoft's calendar services. A calendar visible in the app may belong to a personal Microsoft account or an organization-managed mailbox.
Check the account address and the calendar where an appointment is actually stored. Also distinguish the main calendar from secondary project or family calendars.
If account names are confusing, start with Outlook.com versus Microsoft 365 calendars. It is easier to choose a connection once you know who controls each account.
Viewing both accounts together
Use the supported account-addition process in your Outlook version, then select the relevant calendars in the calendar list. Display them side by side or in an overlay if your version offers it.
Classic Outlook for Windows uses calendar-tab arrows for overlay views; new Outlook and the web version have their own controls. Microsoft's multiple-calendar guide separates the instructions.
This is often all you need for personal planning. Nothing has to be moved, and you can keep each account's ownership and sharing boundaries.
Sharing the original calendar
If the second account needs to view or maintain one schedule, share the source calendar. In Outlook's sharing controls, choose the calendar and recipient, then grant viewing or editing permission for their task.
Personal accounts and work accounts can offer different access levels. Sharing between organizations may also be restricted. Microsoft explains view-only calendar sharing.
An accepted sharing invitation lets the recipient access that calendar; it does not necessarily place every event into the recipient's primary calendar.
Outlook's personal-calendar availability option
Outlook on the web can include a connected personal Outlook.com or Google primary calendar in work or school availability. That can be a good fit for one personal account.
It is not a general mechanism for two work accounts, nor does it cover all secondary calendars. The personal-time blocking guide explains the native limits and alternatives.
For occasional commitments, a manual generic busy event in the other main calendar is also a reasonable solution. Keep it updated when the original changes.
When both calendars need automatic copies
If you work with two organizations, each may need your occupied time represented in its own primary calendar. A sync service or approved automation can maintain those copies, provided both organizations allow it.
Avoid sending full meeting details across organizational boundaries by default. Client names, descriptions and call links may be unnecessary. Use neutral busy copies where availability is the real requirement.
Before relying on an automation, test how it handles time changes, cancellations and recurring exceptions. Also confirm that the arrangement will not copy its own copies back and create duplicates.
Setting up separate accounts in Avum
Connect both Microsoft accounts with the appropriate authorization, then create a Sync Rule from the chosen source calendar to the destination.
For a work-facing copy, replace the title, omit descriptions and locations, and set the intended availability. Add the reverse direction only if you need it, with its own privacy decisions. Keep editing each appointment in its original calendar.
Avum Calendar shows both schedules in one view; the Sync Rule adds busy time to the other account.
For each copying direction, try a test event and inspect the destination's time, status, and details. Move and cancel its original. If the goal is work availability, ask a colleague to inspect the hour in Scheduling Assistant as well.
When an account or job ends
When an account or job ends, disable the relevant rules and follow the service's cleanup process while access remains. Inspect remaining copies before removing the accounts from your planning view.
