Calendar Connection Needs Admin Approval: What to Ask Your IT Team
“Admin approval required” means your organization controls whether the app may access its calendar accounts. Send IT the requested permissions and a specific description of the calendars and details you want to connect. Retrying sign-in will not supply that approval.
What the approval is for
A calendar service may request permission to read events, create destination copies, or maintain a connection while you are not actively using it. The provider's sign-in screen lists the permissions involved.
Microsoft Entra distinguishes permissions a user can approve from those requiring an administrator, and organizations can apply their own consent policies. Its user and admin consent overview explains why two people in different companies can see different approval behavior for the same app.
Copying appointments into a second account can require different access from displaying a calendar in a device app.
Source, destination, and event details
Before contacting IT, describe the source, destination, and necessary fields.
For example: “My personal calendar contains appointments that make me unavailable. I want generic Busy blocks on my Microsoft work calendar, without personal titles, notes, locations, or guest lists.”
Copying work details into a personal account moves information outside the organization's accounts. Ask for that direction explicitly if you need it.
If you only need to see two accounts yourself, a native combined view may be enough. If you only have occasional commitments, manual Busy blocks may avoid needing a new external connection altogether.
Send a concrete request
You can adapt this short note:
I would like to keep my work availability accurate when I have commitments in another calendar. The proposed source is my personal calendar and the destination is my work calendar. I only need generic Busy copies, without personal appointment details. The provider sign-in screen is requesting the attached permissions. Could you review whether this setup is allowed, or suggest the approved alternative?
Include the app's official website, privacy information, the exact approval error, and a screenshot of the requested permissions with personal information redacted. Do not attach passwords, private feed URLs, or a full calendar export.
For an Avum request, include the product overview and Sync Rules. Say, for example, that a personal source should create generic busy copies in the Microsoft 365 work destination.
Let IT choose the permitted route
The organization may approve the app, limit it, require a different integration, or decline external copying. It may also already have a supported native route.
For Outlook on the web, Microsoft documents a personal-calendar availability feature for a supported Google or Outlook.com personal account. Whether the option is available in your organization still needs checking. Microsoft's guide explains its limitations, such as working only with your primary calendar.
For Google Workspace, an administrator may control app access and calendar sharing. Ask which route is allowed; a public ICS link can disclose work data and is not a way around the policy.
Compare native and manual ways to block personal time in Outlook or Google Workspace.
Connecting after approval
Once IT approves a route, sign in through the provider's legitimate authorization flow. Confirm the expected account and the permissions shown.
Then create a test appointment without guests. Inspect the destination's website, its busy status, and the view coworkers or the booking service use. Approval allows the connection; this check confirms the rule's result.
Avum cannot grant your organization's approval or bypass a blocked connection. Once authorized, configure only the intended rule and keep unnecessary details out of the destination. Use the calendar sync checks to inspect copied fields and availability.
If approval is declined, use the approved alternative or maintain manual busy blocks.
