How to Set Up a Wedding Planning Calendar You Both Actually Use

Set up one shared calendar for wedding appointments and deadlines, with edit access for both of you. Keep it separate from your personal calendars, and use an account you expect to keep after the wedding.

A calendar you can both edit

Use a personal account that will remain available after the wedding. Google, Outlook.com and iCloud all offer calendar sharing, though access from another provider and editing options differ. Try the simplest shared option both people can use before paying for another service.

For example, you can create a dedicated Google calendar in a browser and share it with your partner. Google's sharing guide explains access levels. If iCloud is already part of your household setup, start with creating a shared iCloud calendar. Do not share an account password to achieve joint access.

Name it clearly, choose a recognizable color and add one test event. Check that both people can move the event from the devices they normally use. Read-only access may be sufficient for relatives, but the two planners usually need a reliable way to update the original.

Separate appointments from deadlines

Give appointments their actual start and end times. Include the venue address and enough travel time to make the plan realistic. A thirty-minute fitting can still occupy two hours of the day once the journey is included.

“Confirm final headcount” belongs on the correct date, but it should not mark the whole day as unavailable for meetings. Set a reminder for the deadline. If the task needs an hour of preparation, reserve that hour as a separate timed appointment.

For each appointment, record who is attending and who is responsible for confirming it. Keep contracts, quotes and long conversations in an agreed document folder or inbox, then link to that material where appropriate. Avoid putting payment details or sensitive guest information into event descriptions that may later be shared.

Vendor invitations and your shared entry

A vendor may send an invitation to one partner only. Accept it in the receiving account and decide how the other partner will receive the confirmed time. If the vendor should invite both of you, ask them to do so. Creating a second event does not make the second person a guest of the original meeting.

When you have both a vendor invitation and a shared planning entry, identify which one is authoritative. Update the planning calendar after the vendor confirms a change. Otherwise, one calendar can show the old tasting time while another shows the new one.

For a destination wedding, save appointments in the venue's named time zone. A different hour on your phone may be the correct conversion. Review calendar settings for travel before changing the appointment itself.

Decide what should reach work calendars

Some planning events occur during working hours. A manual private busy appointment may be enough for an occasional venue visit. Copy only the time you need, with a neutral title; your colleagues do not need the venue price or the fitting notes.

If venue visits keep moving, use a Sync Rule from your accessible planning calendar to your work calendar. Copy the occupied time with a neutral title and omit fitting notes, prices, and vendor messages. Google, Outlook, iCloud, and compatible CalDAV calendars can be connected; an ICS feed can supply read-only events. The rule keeps the work copy updated. It does not manage guest lists or vendor conversations.

Avum Calendar shows your connected schedules together. If you spot an overlap, decide together which appointment to move. The combined view does not send an agreement to your partner or resolve the conflict for you.

A few minutes together each week

Spend a few minutes together reviewing the next two weeks: confirm new appointments, remove canceled ones, and allow for travel and work availability. Also put something on the calendar that has nothing to do with planning.
