How to Mark Vacation Across All Your Work Calendars
An automatic reply in one mailbox will not block your vacation in another work calendar. Add the absence to every calendar people use to book you, and configure replies separately for each mailbox.
Keep three tasks on the checklist: getting leave approved, marking unavailable time, and setting automatic replies. A provider may link some of them within one account, but that does not update a different company's account.
Every work identity that needs the absence
List your main employer, client or board accounts, and calendars checked by booking pages. The absence needs to appear in those booking calendars, even if you already see the vacation in your own overview.
Use “Unavailable” or “Out of office” for an external organization's copy. Keep destinations, accommodation, and personal notes in your personal calendar. A neutral absence entry avoids sending those details into a work account.
For one short trip across two accounts, entering a neutral absence in each calendar can be the simplest approach. Make a short checklist so you update every account if the dates change.
Busy status and Out of office
In Outlook, create the absence in the work calendar and set Show as to Out of office or Busy. In eligible Google accounts, use an Out of office event and review its decline settings in Google's instructions. An all-day event also needs the correct availability status.
If the absence is visible but bookings remain open, inspect how all-day availability works. Its date and its Busy/Free setting are separate fields.
Check the first and last dates carefully. A partial final day, overnight flight or return journey may require timed blocks rather than an all-day absence. Inspect the saved event after creation; the date range in a provider's form may be easier to misread than the resulting week view.
Configure replies and meeting changes separately
Set automatic replies in each relevant mailbox if you use them, with the correct start and finish. Keep the external message suitable for people outside your organization and provide an agreed contact where appropriate.
Teams and Outlook can share out-of-office status and automatic replies within the same account. That link will not configure replies in another company's mailbox.
Review meetings already booked during your leave. Reschedule, decline or hand them over as appropriate. Adding an absence block does not communicate a new plan to every existing organizer. Be particularly careful with recurring meetings where you only intend to change one occurrence.
Use synchronization for repeated multi-calendar absences
If the same absence often needs to appear in several accounts, create an Avum Sync Rule from your absence calendar to each approved work calendar. Use a neutral title and remove personal notes. Inspect availability in the destination: the copy should show Busy or Out of office, not Free.
Keep personal travel plans distinct from work absence if their times differ. A flight the evening before leave begins may need a personal entry without blocking the whole preceding workday. Copying an entire travel calendar can be broader than the problem requires.
Avum supports Google, Outlook, iCloud, CalDAV, and ICS sources. ICS links are read-only. Avum can write copies to a CalDAV calendar only if its server and your account permissions allow it. The product synchronizes calendar events, not leave approval or automatic email replies. See sharing only busy time for the privacy pattern.
Before you leave and when dates change
Ask an authorized colleague, or inspect an appropriate booking preview, to confirm your unavailable dates on each work identity. Check the absence title and details as well. If dates change, update the source and verify both the newly blocked period and the period you released.
Before leaving, review travel, handover, and the first day back across your accounts. A weekly calendar review can catch a meeting accepted into another calendar after you finished the absence checklist.
