How to Keep Declined and Free Events from Blocking Another Calendar

A calendar can contain events you are not attending and reminders that do not occupy your time. Copying all of them into another calendar as busy can make your availability look much tighter than it is.

Avum's attendance filter behaves differently for Microsoft and Google; the details below matter if you want to exclude declined invitations.

Inspect your response to the invitation separately from the event's Busy/Free status. Declining an invitation and marking an event free communicate different things.

Your response in the original invitation

Open the event in the account that received it. Look for your attendance response and the free/busy or Show As setting. Make sure you are inspecting your own invitation rather than another guest's response or a copied event with reduced details.

If you cannot attend, respond through the original invitation. In Google Calendar, the documented choices are Yes, No and Maybe; Google's response instructions show the workflow. Declining tells the organizer about your attendance. It does not cancel their meeting for everyone.

For an event you created as an informational reminder, set its availability appropriately in the source. A deadline, birthday or school notice may need to remain visible without occupying the whole day. See whether all-day events block availability if the problem is a full day unexpectedly appearing busy.

Attendance and availability are separate filters

Free-event filtering answers, “Does this event block time?” Attendance filtering examines your invitation response, with different exclusions for Microsoft and Google. You can use both filters, but an event's response and its availability are separate checks.

A tentative invitation may still represent time you want to protect. You may prefer to review a pending invitation before it blocks another client's calendar. Enable only the exclusions that match how you handle those commitments.

For a small number of events, manual busy blocks remain an option. You copy only confirmed commitments and release a block when you decline. The tradeoff is remembering to maintain it whenever your response changes.

Review Avum's filters in the source-to-destination rule

In the relevant Sync Rule, enable Exclude free events if explicitly free source entries should not produce copies. For Microsoft sources, that check uses the native Show As value when available. Tentative, Out of office, and Working elsewhere are different from Free. The free-event filter does not exclude them just because they are different from Busy; other filters may still apply.

The attendance option has provider-specific meaning. For Microsoft sources, it excludes non-accepted invitations. For Google sources, the built-in option excludes tentative events; it is not a universal “accepted events only” switch for every provider. A Google invitation awaiting response is therefore not necessarily removed by that option.

For declined Google invitations, inspect whether the source still presents the event and what availability it exposes, then test the rule. Use a separate source of confirmed commitments or manual busy blocks if the built-in filters do not provide the selection you need.

Test a response change, not just a new event

Use an invitation containing no sensitive information. Inspect it while pending, after accepting, after choosing a tentative response and after declining. Compare what the source still shows with the rule preview and the destination. This makes provider differences visible before they affect real availability.

Also create an ordinary free reminder and a busy appointment at different times. Check that the free entry is excluded and the busy one retained. Check the rule's availability setting: a rule forcing every retained copy to busy is a separate setting from deciding which source events qualify.

Include cancellations and recurring changes in the test too. If a block remains, trace where the update stops before deleting a copy that the source still supplies.
