How to Coordinate a Co-Parenting Calendar Without Sharing Your Whole Schedule
Use a separate calendar for agreed handovers, transport, and appointments that affect both households. Each parent can keep their unrelated personal and work plans private.
The calendar records an agreement; it does not replace the conversation needed to change it. Decide how a proposed change becomes a confirmed calendar entry.
A pickup may also require a longer work absence for travel. Record the shared handover time and your own work busy period separately.
Give the shared calendar a narrow purpose
Start with the information both people genuinely need. That might include handover times, school closures requiring action, activities each person is responsible for, and appointments that affect both households.
Leave unrelated work meetings, social plans and private appointments out. If one of those commitments affects a proposed change, share the relevant availability rather than the whole event. This keeps the shared calendar easier to read as well as more private.
Create the shared calendar in an account you expect to keep and give each person their own access. A shared password prevents independent control over access. Google's calendar permissions, iCloud sharing, and Outlook sharing provide account-based alternatives. Confirm that the chosen calendar works on both adults' devices.
Agree on what an entry means
Use titles that identify the responsibility: “Activity transport — Alex” is clearer than “Activity.” Put the agreed arrival time and location in the original event, and include travel time in the responsible person's own availability where necessary.
Decide whether both people may edit all entries or whether one person updates them after confirmation. Being able to edit an event does not mean the other parent has agreed to a change. Use your established communication channel for changes that need agreement.
Keep descriptions brief. A logistical calendar does not need detailed personal records, long message histories or documents that would be better kept in a separate, appropriately accessible place. Review who else has access before adding extended family or another helper.
Separate shared facts from your work availability
A pickup might run from 15:00 to 15:15 in the shared calendar while your work absence runs from 14:30 to 16:00. Put the pickup in the shared calendar and the longer absence in your work calendar.
For occasional responsibilities, add a neutral busy appointment manually at work. A regular pattern can use a recurring series with an end date and individual exceptions. The school-pickup workflow includes travel and changes of responsibility.
Do not automatically copy the entire shared calendar into both parents' work calendars. Events assigned to the other parent may not occupy your time. A small separate calendar of your own commitments can be easier to manage than trying to interpret every shared title.
Use synchronization for selected commitments
If you keep a separate calendar of your own handovers and transport duties, an Avum Sync Rule can copy those entries into work as “Unavailable.” Leave the other parent's appointments out. Change agreed logistics in the original shared calendar, and keep your work absence updated from the source you chose.
You can connect Google, Outlook, iCloud, and CalDAV calendars that you have permission to use. A CalDAV calendar can receive copies only if its server allows Avum to write to it. ICS links can provide a read-only source. If you need to change a shared plan, edit its authoritative original; changing a read-only subscription or a generated busy block is not the same action.
Use busy-only sharing as the starting point when work only needs to know occupied time. Avum supplies calendar coordination, not a custody-management record, agreement process or shared messaging system.
School breaks and changes of responsibility
Review the next few weeks together by message or call before term changes, holidays and unusual work weeks. Confirm which recurring events continue, which single dates change, and who updates each one. Remove canceled logistics entries so a stale plan does not remain plausible.
When someone no longer needs access, remove their sharing permission and review any copies already made. Removing access to the original does not recall events copied into another account.
