How to Back Up a Calendar Before Merging or Moving Events

Export a separate copy of your events before merging calendars, moving accounts, or deleting apparent duplicates. Keep the untouched download until the change is complete and checked. A second synced device offers no protection from a deletion that syncs to it too.

Choose an export suited to the next step

An ICS file is widely used for calendar transfer. A provider-specific archive may preserve a different range of information but require that provider's app to restore it.

The export format and receiving app determine which permissions, reminders, attachments, and meeting details are preserved. Decide what matters: a readable history, a migration to another provider, or a fuller restore within the same app.

Keep calendar ownership clear. Exporting a work calendar into personal storage may be subject to organization policy. Ask before copying confidential information outside its approved account.

Export Google Calendar on a computer

Open Google Calendar in a browser, then Settings → Import & export. Exporting all calendars downloads a ZIP containing individual ICS files. To export just one, point to its name, choose More → Settings and sharing, then Export calendar. That downloads a single ICS file.

You need export permission for the calendar, and an administrator can restrict exports from work or school accounts. See Google's export requirements.

Keep the downloaded file unchanged. If it is a ZIP, extract a working copy to access the individual ICS files. Name the saved export with the account, calendar, and date so you can recognize it later.

Export from Apple Calendar or Outlook

On a Mac, select the calendar in Apple Calendar's list and use File → Export → Export to save an individual ICS file. Calendar Archive is a different export option. Apple warns that importing a calendar archive replaces current calendar information. See Apple's export and import guide.

For classic Outlook on Windows, Microsoft's export wizard supports Outlook Data Files. Open File → Open & Export → Import/Export, choose an export, and select the intended account or calendar folder carefully. Check the current instructions for your Outlook version (and whether all your mail and calendar data is downloaded) in Microsoft's export guide.

New Outlook, classic Outlook, and browser Outlook do not have identical archive capabilities. If the option is missing, use the supported route for that app or ask your organization's administrator.

For CalDAV services, use the provider's own calendar export or a compatible client's supported export. A server address alone is not a backup.

Verify the file without disturbing the live calendar

Check that the download completed and that the file is not empty. Then test a copy in a separate, clearly named calendar where the format supports it.

Inspect a recent appointment, an older one, a recurring series with an exception, an all-day event, and an event with details you care about. Do not invite real guests as part of the test.

Google notes that imports do not remain synchronized with their source and may omit guest or conference data in its import guide. A successful import therefore needs more than counting visible titles.

Inspect a changed occurrence in a recurring series, such as a single moved or canceled date.

Keep the backup separate from ongoing sync

A copied work busy block may omit the original appointment's title, notes, and location. A sync tool may also copy only a limited window of past and future dates.

In Avum, a Sync Rule can deliberately omit details from a work copy. Its calendar view displays connected accounts; keep your exported archive separately so it remains available if those accounts change.

Store the untouched export in a private location approved for the account's data. Keep a second safe copy if the migration is important, and do not overwrite it with a later export after a mistake.

Make the change in small stages

Once the backup is checked, move or merge a small set first. Confirm the destination before removing originals. For a service handover, follow the sync-tool switching steps. Identify originals and duplicate copies before removing events.

You may decide that keeping accounts separate with a combined view is easier than merging.
